Enquiries
The quote form at /quote asks for your name, mobile number, email, the property postcode, your answers about the job and photos of your boiler or home. It is emailed to ross@holmheat.co.uk so Ross can price the job. The website does not keep a copy of your answers or photos: your answers are held in your own phone's browser until they are sent (and for up to 48 hours if you leave part way, so you can carry on), and the sending service and Cloudflare keep short-lived delivery and security logs. Information you send by WhatsApp, phone or email is used to reply to you, quote and carry out work, and to keep records required for gas safety, guarantees and accounting. It is not sold or shared for marketing.
Cookies and analytics
When you first visit, a bar at the bottom of the page offers Accept all, Reject all and Settings. Your choice is kept on your device for six months, then you are asked again. You can change it at any time from the Cookie settings link in the footer. Scrolling or ignoring the bar is not treated as consent.

Each choice you make is recorded with the date, the categories chosen and the version of the notice shown, without your IP address or any identifier, so HOLMHEAT can show how consent was collected. Rejecting or switching off any category never changes what the site offers you.
Visit statistics
Cloudflare, which hosts this website, counts visits for HOLMHEAT as its processor. It collects the page visited, the referring site, browser and device type, country and page-load timings. No cookies or device storage are used and the data is never linked to a name, email or enquiry. HOLMHEAT uses it only to see which pages are useful and to improve this website, and shares it with no one. This is permitted without consent under the statistical-purposes exception in the Privacy and Electronic Communications Regulations, which requires clear information and a simple way to object: open Cookie settings in the footer and switch off Visit statistics. If your browser sends a Global Privacy Control signal, visit statistics are switched off automatically.
Postcode checks
The area checker and the quote form send the postcode you type to postcodes.io, a free UK postcode lookup service, to find its approximate location. If you choose Use my location, your browser asks your permission first, and the distance is worked out on your device: your location is not sent to HOLMHEAT or anyone else. Nothing from the checker is stored by HOLMHEAT unless you choose to send it in a WhatsApp message.
Third parties
WhatsApp (Meta), Google, Cloudflare (hosting and visit statistics) and Resend (a US company that delivers the quote form email through its EU region in Ireland and keeps a delivery log for a short period) process data under their own privacy policies when you use their services or when the site is delivered to you. Photos on some pages are served from Unsplash. HOLMHEAT's business advisers (who handle escalated complaints on its behalf) and our accountants (invoice and VAT records) also process information where needed. Some of these providers are US companies or may access data from the US. Where that happens, the transfer is covered by the UK–US data bridge or UK-approved standard contractual clauses.
Why we hold information and for how long
We rely on performance of a contract (quoting for and carrying out work), legal obligation (gas safety, VAT and accounting records), legitimate interests (cookie-free site statistics, as the law allows) and your consent (Google Analytics and Google Ads cookies). Job, invoice and gas-safety records are kept for at least six years, as tax and VAT rules require. Enquiries that do not lead to work, including any photos, are deleted after 12 months.
Your rights
You can ask what information we hold about you, ask for it to be corrected or deleted, object to or restrict how it is used, ask for a copy in a portable format, withdraw consent to analytics cookies at any time (Cookie settings link in the footer), and withdraw consent at any time. Email ross@holmheat.co.uk with any request; Ross replies within one month.
Complaints about your information
If you are unhappy with how your information has been handled, email ross@holmheat.co.uk with the word Complaint in the subject line. Ross acknowledges within 30 days and tells you the outcome in writing. You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113, whether or not you have raised it with HOLMHEAT first.
